How to Keep Your Email Inbox Organized
How to Keep Your Email Inbox Organized Overloaded inboxes can overwhelm even the most productive people. Fortunately, applications like FollowUpThen and SaneBox are here to help. These business leaders and Advisors in The Oracles share their favorite tools and tips for managing their email. The Oracles 1. Get Slack and a second pair of eyes. At Tamara Mellon, we use Slack as much as possible for internal communication. You can set up channels that make sense for your team and move internal communication to that medium (and away from email). This means my inbox is focused on external communication with investors, board members, partners, and customers. Despite that, I still feel like Iâm drowning in emails sometimes. Thatâs why I also give my assistant access to my inbox. I donât ever want to miss anything important, so it helps to have a second set of eyes. â"Tamara Mellon, co-founder and chief creative officer of luxury footwear brand Tamara Mellon; co-founder of Jimmy Choo; equal pay and womenâs empowerment advocate The Oracles 2. Unsubscribe, then just check email once a day. The first step to managing your inbox is to get rid of any emails you donât need. Unroll.Me shows you everything you are subscribed to and lets you unsubscribe to anything you donât want with one click. Then use a batched approach to archive, delete, or respond. I check email once a day. I do it after lunch so I can complete critical tasks in the morning. Then I turn off auto-fetch on my apps so I donât get notified when new emails come in. If you have an iPhone, you can request notifications just for important emails so youâre alerted of anything high priority. Work emergencies or time-sensitive items should be communicated to you through Slack or similar communication software. That will reduce your anxiety and prevent you from checking email compulsively like I used to. â"Joshua Harris, founder of Agency Growth Secrets; teaches entrepreneurs how to start, grow, and scale marketing agencies that help businesses grow The Oracles 3. Donât respond. Hereâs my only email rule: I donât have to respond. I have over 500,000 unread emails in my inbox. While looking at thousands of unread emails makes most people uncomfortable, there are two reasons I donât care. One, it would be impossible to keep up with all the incoming emails. Two, if itâs important or urgent, the sender knows to text me. Incoming email is just other people trying to push their agenda on top of mine. But thatâs not gonna happen. Candidly, I encourage everyone, including my clients, to manage their inboxes this way as well. The results have been stellar. More time, more freedom, less guilt. â"Jason Capital, White House top 100 entrepreneur under 30, best-selling author, high-income coach, online marketing expert, and founder of High Status; connect with Jason on Instagram The Oracles 4. Text instead. Email can be a major drain on your time. I try to avoid it as much as possible. Instead, I ask people to send me a brief text. This allows me to reply with a short answer. As your business grows, your time becomes more precious. You canât get to everything; so hire someone to assist you and delegate answering emails to them. This frees you up to pursue other tasks, and itâs a great way for your team to learn about your business. Less time on email means my focus goes where it needs to be: on growing the business. â"Robert Martinez, founder and CEO of Rockstar Capital, a real estate investment firm with $285 million in assets under management and $71 million in investor capital; host of âThe Apartment Rockstarâ podcast; follow Robert on YouTube and Instagram The Oracles 5. Keep it short. Action takes longer with email, which is why I have a zero email policy internally. We use Basecamp and Skype instead. I forward all external emails to my team, who have clearly defined swim lanes. When I do respond, I just give action items. My emails are short â" usually one line â" straight to the point. As others get used to working with me, their emails become shorter too. But if a message takes more than three sentences, itâs faster to call me. My team distinguishes between a âneedâ and a âwant.â If they need me and Iâm on a call, Iâll hang up early enough to talk with them before my next appointment. If they just want to talk to me, I know it can wait. We have codes as well. If I reply with â.â it means Iâm on a call. A number like â5â means Iâll get back to them in five minutes. â"Patch Baker, founder and CEO of Mobius Media Solutions; former U.S. Marine, with a mission to help people leave the military today and not feel abandoned tomorrow The Oracles 6. Stay organized and use instant messaging apps. As the CEO of 19 companies, Iâm no stranger to email overload. I usually wake up to hundreds of emails; so maintaining a solid system is paramount. Trust and delegation are probably the biggest secrets to managing my inbox. I usually include my management team on emails; so I know the right person will reply and make sound decisions on my behalf. I also stay organized with labels, flags, categories, and shared folders. Believe it or not, I donât use a laptop or desktop â" just my phone. To keep my inbox under control, I use instant messaging apps. I have groups for each of my businesses and individual departments. This eliminates the need to read long threads and type formal responses. Itâs nice not having to worry about punctuation, salutations, or signatures. â"Andres Pira, real estate developer, founder and CEO of Blue Horizon Developments, and author of âHomeless to Billionaire: 18 Wealth Attraction Principles for Creating Unlimited Opportunityâ; follow Andres on Facebook, Instagram, and YouTube The Oracles 7. Write email scripts for your team. For years I refused to give other people access to my email because I was concerned about both confidentiality and being authentic and personal. I also worried about hurting othersâ feelings by unsubscribing to their emails. I had so many emails that I once hid in the bathroom while on vacation in Bora Bora to avoid upsetting my husband as I frantically tried to clean up my inbox. When I finally let go of control, I found massive freedom. Now I create scripts for common emails I receive so my team can respond in my own words. I delete all junk mail, file any coupons I think Iâll use, and move important emails to the top so I can focus on my priorities instead of getting lost in minutia. The best part is all of my appointment scheduling is now handled by my executive assistant, and since she is more attentive to detail, I am never double booked! â"Keri Shull, founder of the Keri Shull Team, which has sold over $2 billion in properties; co-founder of real estate coaching business HyperFast Agent; named one of Americaâs Best Real Estate Agents by REAL Trends; connect with Keri on Facebook Want to share your insights in a future article? Stealth Job Search Tip #1 - Work It Daily Lately, Iâve had several people who are currently employed but looking to leave tell me they thought my CareerHMO.com program was only for people who are out of work. I find that surprising because the program was specifically designed for people who are time-crunched and need access to career experts that work around their schedule. In other words, it was designed for the working professional! Entrepreneurs Deserve Work-Life Balance, Too Here are 5 Ways They Can Achieve It
Entrepreneurs Deserve Work-Life Balance, Too Here are 5 Ways They Can Achieve It Busy? Well, isnt that an understatement? If youre like me, mastering work-life balance is no easy feat. Entrepreneurship is a constant juggling act of phone calls, meetings, emails, networking, promotion and strategy thats often flanked by early mornings and late nights. Cue Rihanna work, work, work, work, work, work. But too much work will burn you out and wear you down. Yes, youre working towards a different type of life for yourself. Yes, that demands a lot of you. But trust me when I tell you, youre not your best self if you dont have balance. After spending 13 years as a marketing executive working with companies like LiveStrong and AIG, I decided I wanted to venture out on my own. It didnt take long for me to experience the craziness that comes with being an entrepreneur. Its easy to become obsessed with your brand and with achieving a specific outcome. Although that obsession is necessary for great ness, you need to have some kind of balance. It wont be 50/50, especially not early on, because its true that entrepreneurship requires sacrifice.Do you know what else entrepreneurship requires? Your sanity. With that in mind, here are five things Ive learned and recommend to help you successfully balance work and life.1. Walk it out. There is nothing like walking. I dont mean treadmill walking, which we all know is a good gestalt of exercise. In this case, Im talking about walking more for mindfulness, self-care and relaxation as opposed to exercise. Im talking about outdoor, fresh-air walking. Those walks where you can feel the breeze hitting your skin, see trees and smell flowers. Walking is the ultimate entrepreneur reset. When I added a 30-minute walk to my weekly routine, my mood drastically improved for the better. Theres nothing like it.2. Create a work curfew.I used to push myself to work insane hours (12 to 15 hour days) because I felt like I had so many things I needed to accomplish in one day. But the strain and lack of sleep only made me less productive and more stressed. I implemented an end-point for my days, where regardless of what Ive done, I have to stop because my brain needs to relax and recharge. You cant go nonstop its simply not possible. Give yourself a hard stop, and then actually stop.3. Let business apps do some of the work for you.Apps exist for a reason. Theyre here to help you be more efficient, and efficiency is a key parte of effectively balancing work and life. Think Expensify, My Minutes, Evernote and TripIt, to name a few. Just as business is about optimization, so is your personal time. One of the best ways to save time is to departure using the helpful apps that exist for entrepreneurs like us.4. Read an inspiring book.A good rule for overworked entrepreneurs is to turn off the television and pick up a book. Any book is fine, but a memoir, feel good fiction novel or self-help book is always advantageous for the psyche. Rese rve some time to deliberately take a break and zone out between the pages of a good read. My favorites are Were Going to Need More Wine by Gabrielle Union and You Are a Badass How to Stop Doubting Your Greatness and Start Living an Awesome Life by Jen Sincero.5. Take a break from social media.Sometimes were too connected. As much as Im a fan of social media, its draining. Sometimes you have to intentionally unplug from it so that you stop scrolling and start resting. Just like your body, your mind needs rest. As much as social media can bring people together, its not the best for work-life balance, especially for entrepreneurs. So, turn the push notifications and alerts off.Work-life balance is possible for entrepreneurs it just requires some deliberate actions. You need to set limitations for your time. You need to take breaks. A quick reset can do a world of difference for your productivity. Ever since Ive made self-care and balance a priority, I sleep better, I dont get those wee kly headaches like I used to and I have a lot more energy. Balance is possible, you just have to it a priority for yourself.

Career Tips From Reality TV - The Voice - The Muse
Career Tips From Reality TV - The Voice - The MuseCareer Tips From Reality TV - The VoiceThis week on The Voice, Blake Shelton told a male contestant (after a haircut and general sprucing up), Youve never looked hotter. Then he stole the singer for his own team. And, OK, maybe if you get a haircut and spruce up your appearance, youll get that perfect job or hotly contested promotion. Studies show appearances do matter when it comes to raises and promotions. But theres more that you can take away from The Voice. Bromances aside, there are some great lessons to be learned from this reality show, and believe it or not, they apply directly to your own career- even if singing has nothing to do with it.In case youre not familiar with the show, heres the premise Four celebrity singer-coaches select teams of aspiring vocalists from a blind audition. Each coachs contestants compete against each other in a weekly sing-off to determine who advances in the competition. Finally, the best from each coach compete against each other, and viewers vote to award the winner a recording contract. Along the way, coaches are allowed a certain number of steals and saves to keep their favorite contestants from being eliminated. As I watched an episode this week, it struck me that the show holds some good lessons about the workplace that you can apply to your career.Lesson 1. Your Boss Thinks You Can Make Him or Her SuccessfulOn The Voice, coaches select vocalists they believe have the ability to lead them to a championship in the end. They arent looking to win only the weekly singing battles they want to win the whole enchilada. Your manager brought you on board for very much the same reason. I find it so interesting when people believe their managers arent on their side- because I know that no manager hires team members hoping theyll cause the team to fail. No managers goal is to hire a problem employee who will give him or her a headache. Like the coaches on The Voice, bosses hire tale nt to win. So if youre struggling with your boss, or if youre in a new job and its not going so well, go back and ask your manager what she saw in you that convinced her to bring you on the team. Then do that with all your might. Lesson 2. The Competition Doesnt End With the Job OfferThink about if you played a sport and had to train with your fiercest rival. How uncomfortable would that be? On The Voice, thats exactly what the singers do. They train with each other, the coach, and often a guest mentor, knowing that when they compete in the ring, only one of them will be victorious. In the same way, sure, you got the job. But the competition doesnt stop there. I like to say you first compete for the job. Then you compete in the job. The way to get things done is to stimulate competition, steel magnate Charles M. Schwab once said. He did so by letting the night shift know how much steel the day shift had produced. Competition ensued. For you, the same is true in the workplace. Consid er that for stock options, plum assignments, promotions, title changes, and every dollar allotted for salary increases or bonuses, youre competing with the colleagues around you. It may not be a public contest, but the idea is the same.Much like the singers on The Voice, you continually have to prove youre better than the others to get to the next level in compensation, responsibility, title, or reporting line. Consider what it is youre competing for, and focus your performance on how youre going to win the title. Lesson 3. Youre Good Someone Else May be BetterTheres always anguish when a coach has to choose between two great performers. One stays one goes. But if the coach wants to win, he or she has to be brutal in making selections. Which singer best fits the strategy? Who has the best chance among the overall competition? Like I said- brutal. Theres no room for keeping someone because he or she is nice or seems like a great person. The individual has to help the team win. Often, the difference between the one who stays and the one who goes is imperceptible. He or she is simply be a better fit for the coachs strategy. Managers do this all the time. As an employee, you may be good at what you do. But someone else may have a slight edge- just barely perceptible- that puts the W in his or her column for that raise or promotion. However, you can still benefit when things dont turn out in your favor. The coaches on The Voice help the deselected singers understand what drove the decision. Likewise, a good manager will help you understand why you win (something we often overlook asking, by the way) and why you dont. So whatever happens, be sure to get the feedback you need to continue improving. After all, a number of singers are on the program this year who had failed in earlier attempts. Theres something to be said for working at it. For as hard as you work in the competition that is your career, thankfully, theres one big difference that doesnt apply to you You dont have to have your performance judged by millions of TV viewers.
